About the Role

As a Projet Coordinator supporting the Group Risk PACT Program, you will play a vital role in keeping this large, fastpaced risk uplift program running smoothly. Working closely with the PMO Team and Program Leads, you will ensure governance processes operate effectively, support the flow of information across stakeholders, and enable disciplined program execution. 

 

This role is ideal for a highly organised, proactive professional — particularly an Executive Assistant or Team Coordinator looking to expand into project governance and uplift their PMO capability in a complex transformation environment.

Role Location: Melbourne or Sydney

 

What will your day look like?

  • Provide coordination support across the Group Risk PACT Program, ensuring governance, reporting, and delivery activities are well‑organised and executed on time. 
  • Manage calendars, meeting logistics, and diary coordination for Program Leads, ensuring they are well‑prepared, and time is optimised across a demanding schedule. 
  • Coordinate inputs into program reporting, Steering Committee materials, and leadership communications, ensuring consistency and quality. 
  • Set up program meetings and governance forums, including scheduling, agenda preparation, attendee coordination, minutes, and action tracking. 
  • Support the administration and upkeep of PMO artefacts such as RAID logs, delivery calendars, governance registers, and documentation libraries. 
  • Assist in onboarding new team members, ensuring access, induction materials, and program information are well‑managed. 

What will you bring?

To grow and be successful in this role, you will ideally bring the following:

 

  • Experience in high‑paced coordination, administration, or EA support — ideally supporting senior leaders or complex schedules. 
  • Excellent organisational skills with the ability to manage competing priorities and bring order to ambiguity. 
  • Strong communication skills and confidence engaging with a wide range of stakeholders and willingness to learn PMO governance practices, risk frameworks, and program delivery fundamentals. 
  • High attention to detail and commitment to accuracy in documentation, scheduling, reporting, and follow‑through. 
  • Working knowledge of tools such as Outlook, Excel, PowerPoint, Teams, SharePoint, JIRA or similar collaboration platforms. 
  • A proactive mindset, with the ability to anticipate needs, identify gaps, and ensure leaders are well‑supported.
