About the Role

 


As an Executive Assistant General Manager Corporate in our Team, you’ll play a key role in helping to develop a highly effective partnership with and provide professional support to the Country Head, managing all administrative matters and acting as an efficient and professional contact point for all internal and external customers.

What will your day look like?


 

As an Executive Assistant, you are accountable for:

 

  • Manage GM’s administration, including diary management, mail, filing systems, technical support, expenses and payment of invoices
  • Plan diary, reoccurring meetings well in advance (as agreed), so key stakeholders have adequate notice and can plan accordingly
  • Organises internal and external meetings, catering where required, including external venues in need
  • Keep track and follow up on key deliverables, and create space in the diary to ensure GM responds to set tasks and deadlines in a timely manner
  • Manage and co-ordinate travel, accommodation, catering and venue requirements for GM Corporate travel, functions and conferences
  • Act as a professional, efficient and customer-focused interface between internal/external customers and GM Corporate
  • Proactively promote a service provider relationship with customers, based on mutual understanding of roles and agreed standards for performance and interactions
  • Co-ordinate and assist with event , management, customer engagements
  • Support VIC Corporate State Head with customer functions, occasional travel

To grow and be successful in this role, you will ideally bring the following:

 

  • Effective communication skills to interact with internal and external customers at all levels
  • Experience in diary management 
  • Able to manage priorities and conflicting issues in a professional manner 
  • Proven ability to build strong, open and collaborative working relationships 
  • Demonstrated ability to use initiative
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Demonstrated capacity to work under pressure, delivering work in a timely and accurate manner
  • Excellent planning, problem solving and organising skills
