About the Role

As an Executive Assistant in our Diversified and Specialist Industries team, you’ll play a key role in helping to manage relationships effectively and efficiently and ensure optimal efficiency and performance of the GM and direct team, by proactively managing their time, anticipating their needs and building strong relationships with key stakeholders within ANZ and external customers.

What will your day look like?

As an Executive Assistant, you are accountable for:

  • Managing the efficient running and operation of all aspects for the GM including mailbox, calendar, travel schedule and all associated logistics such as visas, transfers and accommodation.
  • Proactive management and prioritisation of the GM’s time in relation to business needs, ensuring all key meetings are set within appropriate timeframes and required briefing materials available in advance
  • Screen telephone calls, field enquiries, proactively manage requests and escalate urgent matters; Resolve administration issues by identifying solutions
  • Managing all costs and expenditure in line with internal ANZ policies and compliance practices
  • Invoice processing and corporate card expense management including monitoring of direct reports expenses to ensure adherence to ANZ policies and compliance timeframes, as required
  • Managing all necessary HR processes to ensure accurate position and people data, employee changes, recruitment, exits etc.
  • Maintaining accurate records for the GM as required
  • Produce general correspondence, presentations, reports etc. of a confidential nature, on behalf of executives; Provide central coordination  of administrative matters & identify and act on opportunities to improve effectiveness
  • Exercising discretion and confidentiality on behalf of the GM’s office
  • Central liaison point for communication between executives and direct reports ensuring harmonisation and consistency of information.
  • Developing engaging and productive relationships with all internal and external stakeholders, always displaying the highest level of professionalism 

What will you bring?


To grow and be successful in this role, you will ideally bring the following:

  • Excellent administrative and organisational skills 
  • Experience in providing support at senior levels of an organisation
  • Some experience managing small projects, initiatives or events 
  • Curiosity and a willingness to constantly test and revise your own thinking 
  • Experience in diary management 
  • Able to manage priorities and conflicting issues in a professional manner 
  • Proven ability to build strong, open and collaborative working relationships 
  • Demonstrated ability to use initiative
  • Proactive by taking action and being relentless in addressing issues 
  • Ability to have an understanding of technology frameworks and operations 
  • Having an understanding of portfolio management is an advantage
