About the Role

As Executive Assistant to the Ground General Manager, M&A (GGM, M&A), you will be responsible for supporting the GGM M&A with the day to day running of the M&A function, and handle day to day operational issues and correspondence on their behalf. This opportunity will suit someone looking for a hands on role and who thrives on providing critical administrative and operational support in a small, high performing team.

Role Type: 6 Month Secondment/Fixed Term Contract
Role Location: Melbourne
Work Hours: Full time, 40 hours per week

What will your day look like?

This role is accountable for:

  • Managing the efficient running and operation of all aspects of the GGM M&A’s mail, calendar, travel schedule and all associated logistics such as visas, transfers, and accommodation.  Provide support to M&A team for international travel and logistics

  • Act as a primary point of contact for internal and external stakeholders, ensuring timely and professional communication.

  • Autonomous and proactive management and prioritisation of the GGM M&A’s time in relation to business needs, ensuring all key meetings are set within appropriate timeframes and required briefing materials are available in advance

  • Managing all costs and expenditure in line with internal ANZ policies and compliance practices including corporate credit card expense coding and monitoring, invoice processing etc

  • General office support including data and documents management in accordance with policies

  • Developing engaging and productive relationships with all internal and external stakeholders and peer Executive Assistants, always displaying the highest level of professionalism

  • Exercising discretion and confidentiality on behalf of the GGM M&A

What will you bring?

To be successful in this role, you will ideally bring the following –

 

  • Relevant experience in providing Executive Assistant Support to Senior Executives and/or ExCo

  • Time management and multi-tasking abilities in a fast-paced environment

  • Ability to anticipate needs of the GGM M&A and broader M&A Team and act proactively

  • Strong focus on accuracy, policy compliance, responsiveness and resilience in addressing issues

  • Strong initiative and a proactive attitude (anticipating needs) to undertake value-adding responsibilities

  • Professional approach to work, excellent telephone manner with a high level of customer service

  • Ability to work autonomously, multi-task and prioritise with excellent organisational and time management skills

  • Excellent technical skills including advanced Word, PowerPoint, Outlook, and intermediate Excel skills

  • Excellent interpersonal skills - written and verbal communication

  • Problem solving and creating efficiencies/improving processes

  • Strong interpersonal skills and confidence to deal with employees at all levels, including senior executives

  • Confidentiality - You must be discreet with the information you are privy to – even with other executives and their EAs
