About the Role

This is a key role in ensuring optimal efficiency and performance of 2 General Managers within the Digital Channels (Australia Retail division) by proactively managing their time, anticipating their needs, and building strong relationships with key stakeholders within both ANZ and external parties.

What will your day look like?

As an Executive Assistant, you are accountable for:

  • Diary management, scheduling one off and recurring meetings to best support and enable working in an agile environment - including showcase, huddles, planning sessions etc. 
  • Proactively keep on top of deadlines on behalf of execs and coordinate with teams to make sure deadlines are adhered to
  • Support the on-boarding of new starters and troubleshooting issues, working closely with the ANZ operations team to ensure seamless process 
  • Assist with keeping up data repositories, documents and content collaboration sites e.g. team Confluence pages, org charts etc. 
  • Contribute to positive culture through collaborating, arranging and/or coordinating events 
  • Work collaboratively with other EA’s to share the workload, arrange group wide events, celebrations and provide coverage during leave 
  • Financial management by tracking costs and expenses
  • Support business teams with vendor and 3rd party relationship management
  • Liaising professionally with key stakeholders to set up various compliance meetings
  • Travel arrangements
  • Ad hoc support to teams as required.

What will you bring?

To grow and be successful in this role, you will ideally bring the following:

  • Demonstrated experience providing support to executives and their teams with high attention to detail
  • Extensive administrative experience in a large, fast-paced environment
  • High proficiency in Microsoft Office programs 
  • Excellent time management skills
  • Proactive team player with the ability to manage competing priorities with a positive attitude
  • Proven ability to build strong, open and collaborative working relationships 
  • Experience managing project work and meeting tight deadlines 
  • Demonstrated ability to speak up, use initiative, problem solve, identify gaps and areas for improvement
  • Self-motivated with strong experience in administration in a fast-paced environment 
  • Previous experience in a similar role in banking or financial services
  • Experience with ANZ systems highly advantageous.
