About the Role

As a Senior Administration Officer, you will provide specialist administrative services that promotes a collaborative, client focused, quality and result oriented approach.

 

  • Responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness, efficiency and safety.
  • Maintain compliance with local regulatory requirements in all administrative practices.
  • This role is responsible for supporting the local Institutional Operations team in various capacities.
  • Supports the Business Support function in various capacities including health and safety compliance, vendor management, and facilities management.
  • Manage relationships with vendors and service providers ensuring that all items are invoiced and paid on time.
  • Maintain accurate and up-to-date records of all company documents, including contracts, agreements, and regulatory filings. Ensure proper documentation and filing systems are in place and accessible. Safeguard confidential information and adhere to data protection regulation.
  • Identify opportunities for process improvements and implement best practices
    Ensure compliance to processes and implement robust management reporting
  • Ensure purchasing transactions are transparent and is aligned with the internal ANZ internal purchasing requirements.

What will your day look like?


As a Senior Administration Officer, you will have the opportunity to:

 

  • Effectively support the business with timely delivery of reports and excellent quality of service to customers and stakeholders
  • Take ownership of operational documents and ensure coordination amongst leaders
  • Identify customers’ and employees’ needs as well as suggest improvements that could improve existing operational processes
  • Help facilitate campaigns and incentives while ensuring compliance with applicable finance policies
  • Lead engagement activities and coordination of events to ensure successful implementation of initiatives and optimal participation
  • Create and process requests and invoices with close attention to details, traction and progress of activities within timelines

What will you bring?


To grow and be successful in this role, you will ideally bring the following:

 

  • Proven experience in an admin or purchasing team
  • Comprehensive knowledge in measuring, managing and reporting admin & purchasing policy compliance
  • Proven influencing and negotiating skills.
  • Excellent verbal and written communication skills and the ability to work effectively with internal customers, management and external suppliers. Ability to conduct high-level discussions with C-level and upper management.
  • Excellent presentation skills with the ability to communicate specific reasoning behind established policies, procedures and compliance.
  • Strong customer service skills which applies to all elements of a admin and purchasing activities
  • Knowledge of general accounting principles
  • Ability to re-engineer operations and procedures, formulate policy and initiatives
  • Ability to develop and implement customer relations plans to improve service levels and response times
  • Can maintain and utilize automated services management systems and workflow tools
  • Must be able to complete projects in a timely manner and work independently with little supervision.
  • Able to maintain a positive attitude during busy times and follow direction and set priorities
  • Ability to multi-task in fast paced, demanding environment
  • Knowledge of Microsoft Office products including ability to: create PowerPoint presentations, Excel spreadsheets and Word documents including integrating data points from various databases into all Microsoft Office tools.
