About the role

Diary management - inclusive of internal/external meetings, weekly travel itineraries/logistics.

Travel management – inclusive of flights, transfers, visas and accommodation bookings, ensuring cost effectiveness is maintained/monitored at all times.

Events management coordinating and managing all catering and venue requirements for internal meetings, business forums and off sites (onsite\external) in Sydney, Melbourne, Manila and Bengaluru

Expense management – reconciliation of all Executives monthly expenses, ensuring the receipt and payment of invoices align to expense policy/ensuring all expenses are coded correctly to each live project.

Data Management – maintaining share drive for executives

Invoice, procurement and Ariba management of invoices from vendors/partners
In addition, the role is also expected to

Co-ordination and management of key documents within team

Conduct basic analysis (excel) and prepare presentations and papers to support key meetings and conversations

Partner with other EAs and teams to ensure meetings are set up, well run and information required is available for all attendees

Strong experience in administration with high attention to detail

Ability to manage competing priorities and remain resilient and positive

Proven ability to build strong, open and collaborative working relationships

Experience in managing project work and meeting tight deadlines

Experience with Excel (intermediate) and Powerpoint (intermediate) and Microsoft Office
-
Demonstrated ability to use initiative, being proactive by taking action and being persistent in addressing issues
-
Experience working with leaders who are in another location/across multiple locations and with stakeholders working across geographies
-
Experience working closely with other EAs who support senior executives
