About the Role

In this role, you will provide full secretarial and administrative support to Head of Markets Europe and America to ensure the effective and smooth running of the Markets Front office.  Your role will also provide regional business support as required by the Head of Markets Europe & America COO Functions.

 

Role Type: Permanent, Full Time

What will your day look like?

This role is accountable for:

 

  • EA to the Head of Markets Europe and America
    • Proactive diary management (using outlook) and general e mail correspondence
    • Planning & organising travel itineraries including air and ground transportation
    • Timely and accurate management and inputting of expenses
    • Updating SOR & Living Will

 

  • General day to day office administration tasks including:
    • Booking meeting rooms, VCs & catering, setting up meeting rooms/presentations
    • Control of external visitors to the restricted Markets areas
    • Membership & subscriptions signoff
    • Co-ordination of client events e.g. Tennis, Rugby, Cricket etc
    • Assisting with photocopying and presentation binding

 

  • Responsible for ensuring swift and accurate invoice payment for the Markets Division
    • Managing Invoices & tracking all spend
    • Onboarding new suppliers
    • Ensuring correct cost split amongst desks/departments

What will you bring?

To grow and be successful in this role, you will ideally bring the following:

 

  • Experienced Executive Assistant, used to working in a fast-paced environment, preferably financial services.
  • Demonstrated ability to use initiative. Be proactive by taking actions and being persistent in addressing issues.
  • Proven ability to build strong, open and collaborative working relationships.
  • Able to manage priorities and conflicting issues in a professional manner.
  • Good written and verbal communication skills is essential.
  • PC literacy in Microsoft Applications
  • Word: advanced e.g. including styles, tables of contents, graphics, etc
  • Outlook: diary management, new contacts, email archiving
  • PowerPoint: Intermediate e.g. basic presentation styles and graphics
  • Excel: Intermediate, e.g. updating spreadsheets, simple formulas and calculations
